Facility Coordinator/Services Specialist (Chinese, Swedish & English)

We’re looking for a Chinese, Swedish & English speaking Facility Coordinator/Services Specialist for a company in Gothenburg. Start is November 15th, 7 months limited contract to begin with. This role is 100% onsite in Gothenburg.

Assignment description

Seeking an experienced Facility Services Specialist to develop and maintain tenant-facing facility services in a modern multi-tenant innovation campus environment. The assignment focuses on service innovation, tenant experience, service agreements, supplier performance, customer administration, and continuous improvement across the campus.



Scope, Responsibilities and Duties

Facility Service Delivery & Continuous Improvement

• Drive innovation, development, and strategic improvement of tenant-facing facility services within a multi-tenant innovation campus environment.

• Lead improvement initiatives in public areas and coordinate service-related processes, signage, workflows, and operational documentation.

• Provide workplace and office management expertise to customers, including guidance related to workplace regulations.



Service Agreements, Commercial Handling & Customer Administration

• Prepare proposals and manage the signing, maintenance, and updating of service agreements with tenants.

• Maintain customer records with accurate service levels, pricing, and operational details, and propose service adjustments when needed.

• Manage service-related budgets, cost structures, business models, customer invoicing frameworks, and support leasing agreements when required.



Supplier Management & Service Quality Assurance

• Lead supplier relationships and maintain service agreements, including KPIs, SLAs, scope definitions, and compliance expectations.

• Follow up on supplier performance through regular reviews, audits, and development discussions.



Tenant Experience, Care & Engagement

• Oversee tenant onboarding and offboarding and drive tenant care, benefits, communications, and experience-enhancing initiatives.

• Plan and coordinate tenant events, including supplier-provided event services, and support broader campus development projects.



Administrative & Operational Support

• Maintain documentation, reporting, templates, guidelines, service processes, and internal coordination.

• Support financial follow-up, cost verification, and internal controls related to supplier services and customer billing.



Required Experience and Qualifications

• Minimum three years of relevant experience in facility services, workplace services, property management, or a similar operational role.

• Proven experience in supplier management, KPIs, compliance, service agreements, contract lifecycle management, and operational development.

• Relevant post-secondary education in Facility Management, Property/Real Estate, or a related field. Relevant certifications are considered an advantage.

• Strong stakeholder management skills, structured ways of working, documentation accuracy, and the ability to lead multiple initiatives independently.

• Professional communication skills in English and Swedish. Chinese language skills are considered an advantage.

• Service-minded, proactive, solution-oriented, and committed to continuous improvement.



This role requires fluency in both Swedish and English - Chinese knowledge is a big advantage!
